Board Position Descriptions

  • The President shall preside at all meetings of the Executive Board and the regular meetings of the membership.

  • She shall appoint Committee Chairs and Trustees

  • She shall sign and make all contracts and agreements in the name of the organization.

  • She shall keep a yearly log consisting of all committee written reports.

  • She shall see that all books, reports, statements and certificates required are properly kept, made and filed according to law.

  • She shall have authorization to sign all checks

  • She shall sign all membership cards with the Membership Secretary and present the WOMEN OF IRISH HERITAGE pin. 

  • She is a non-voting member and Ex-Officio of all committees. She votes to break a tie only.

  • The Membership Secretary is responsible for tracking and reporting membership dues and membership contact information. 

  • New members who join in May will only pay the initiation fee; annual dues will not be payable until September.

  • Members who pass away will be removed from the Active Membership list; removed from group e-mail and added to Inactive List.

  • She shall provide new members with a complete Membership Kit, Pin and Card.

  • She shall serve as Chair of the Membership Committee.

  • The Stewardess are responsible for making arrangements for refreshments for the general meeting.

  • They are responsible for set-up of the meeting place. Shillelagh Club will set up tables and chairs; Stewardess place tablecloths and items for refreshments.

  • They are responsible for maintaining materials required for refreshment service at general membership meetings.

  • She will fill in for President in her absence and have all responsibilities as President. 

  • She shall serve as Chair of the Parade Committee.

  • The Recording Secretary shall keep the minutes of the meetings of the Executive Board and of the general membership and provide a copy to President.

  • She shall provide copies of Minutes to members.

  • The Sergeant-At-Arms(s) shall be responsible for allowing only members and prospective members into the meetings.

  • They are responsible for keeping order at such meetings.

  • They will maintain the records of the members in attendance at all meetings on a dated sign-in sheet.

  • They are responsible for distributing name tags at the meeting 

  • They serve on the Parade Committee and form marchers and maintain order at the parades. 

  • They are responsible for Flags, Banners and poles, Officer Sashes, Meeting sign-in sheets and name tags.

  • The Treasurer is responsible for all financial matters – deposits/ payments of bills / petty cash fund. 

  • She must present income and expense reports at all General Meetings and Executive Board meetings and provide a copy to President and to members if requested.

  • The Corresponding Secretary checks mail box and presents all mail to President 

  •  She is responsible for proper notification, written or electronically, of General Membership and Executive Board meetings, at least 5 days prior to meeting.. 

  • She is responsible for production and distribution of the monthly newsletter. 

  • The Hostess(s) shall act as an official greeter on behalf of the organization. 

  • They are responsible for conducting 50/50 at each meeting or event.
